Wedding RSVP reminders: who to contact and when to stop
A useful reminder helps someone who has not replied complete one action. Start with the pending list for the specific event, give a clear deadline and check recent responses before every send.

Recheck the audience for each round: yesterday's pending list may already be out of date.
Contact pending households for the right event
Separate invitations not sent, sent without a reply, partial responses, acceptances and declines. Message delivery describes a message, not a guest's decision. A partly answered family invitation may need a personal question rather than another generic reminder.
Keep wedding and henna responses separate. A household can accept one celebration while leaving another unanswered. Exclude people who have replied or requested that messages stop.
- Check the current response even when a round was scheduled earlier.
- Avoid contacting several members of the same household with duplicate invitations.
- Agree who records replies received by phone or personal message.
Give one reason and one response link
Name the couple and event, state the response deadline and invite a decline as well as an acceptance. Use the household's own invitation link so they can answer without searching for the right form.
- This is an example for personal sharing, not an approved business WhatsApp template.
- Business messaging must use the permitted sending route and approved template for the account and language.
Hello [household], please let us know whether you can join [couple]'s wedding on [date]. To help us confirm arrangements, please accept or decline by [deadline]: [personal link]. Thank you!
Check Israel time before scheduling
Work backwards from the venue's final-count deadline and leave room for personal calls. Choose considerate hours for your audience; overseas guests may be in a different time zone.
Verify the date, local time and Asia/Jerusalem zone, especially around daylight-saving changes. Test one message to your own number and check its arrival time. An old overdue schedule should not unexpectedly release a burst of late reminders.
Decide what ends the follow-up
Set a round limit and a gap between rounds. Stop after a sufficient reply, an opt-out, cancellation or the final deadline. Automation should check these conditions near the actual send, not only when the round is created.
Review failed or uncertain delivery before retrying. Switching from WhatsApp to SMS should not duplicate a reminder already sent. Keep the round, channel and result together so you know who needs a call.
Before you finish
- Only pending households for the intended event are selected.
- The message names the couple and includes a personal link and deadline.
- The date and hour are checked in Israel time.
- Replies and opt-outs stop reminders; duplicate sends are prevented.
- One controlled test succeeds before a real round is enabled.
Questions along the way
How many RSVP reminders should we send?
There is no universal number. Choose a limited number of rounds around the venue deadline and your relationship with the guests; repeated silence may be better handled with a personal call.
Can we send any wording through business WhatsApp?
Personal website copy is not automatically an approved template. Check the sending route, template approval, language and permission to contact the recipient before automating.
Start with the pending list
TheVows keeps event-specific RSVPs together. Sending and reminders depend on the plan, configuration and provider approvals; check connection status before enabling them.
